Marie Curie IEF. Invitation letter

Finalmente he recibido la Invitation Letter.

n the meantime and in order to meet the REA deadline for the negotiation process (currently 29 January 2010) we would like you to check and send us some documents. We appreciate your cooperation in this matter.

1. Pre-negotiation summary report. Please could the fellow carefully check for accuracy page 1 of the pre-negotiation summary report, which is attached to this email. The information in this report is used to calculate your living, mobility and travel allowances as well as the contribution to participation expenses. It is therefore crucial that you let us know as soon as possible, and no later than 15 January 2010 of any inaccuracies in the information. Please do NOT inform the REA/project officer directly - we will do so on your behalf.

2. Start dates. In the NEF online tool we will be asked to choose one of three options for a start date. Please carefully consider and discuss with each other (fellow, supervisor and department) each option before deciding. Please inform us of your start date option by 22 January 2010. The three options are:

* a) The first day of the month following the entry into force of the grant agreement (ie the date of the signature by REA). This option should be avoided at all costs as we have no means of knowing when the REA will sign the grant agreement. For example, should the REA sign the Grant Agreement on 22 June 2010, you would have to start the fellowship on 1 July 2010. The REA never gives any indication in which month they plan to sign grant agreements and it usually takes them 3-5 days to inform us that an agreement has been signed. So in the above example, if REA signs on 22 June, we might get notified on 27 June and you would be expected to have moved to the UK and start work by 1 July.
* b) An "open" start date option ("the effective starting date notified by the beneficiary"). With an "open" start date, we simply notify the REA (electronically) of the actual start date, which has to be within 12 months after the entry into force of the grant agreement (i.e. when the REA signs the GA). In such cases, you cannot start the fellowship before REA signs the grant agreement. If you chose this option, REA asks us to enter an approximate starting date. This helps REA to prioritise the signing process. For example, if you give an approximate signing date of 15 October 2010, REA will endeavour (but NOT guarantee!) to sign the grant agreement before 15 October 2010. This option gives you the flexibility to change your mind and postpone the start date, as long as it is within 12 months after the REA signature. So you could in the end start on 1 January 2011 and all we would have to do is inform REA of your definitive start date. However, the option is problematic if you wish to start your fellowship earlier than your approximate start date, eg change from 15 October to 1 September 2010. We have no way of influencing the signing process at the REA. In the past the REA has usually signed the grant agreements only one or two weeks before the 'approximate start date' and fellows were unable to start earlier than their approximate start date. We would recommend the 'open start date' option if you want to start on 1 September 2010 or later. Please let us know your approximate start date for now, unless you want to start as late as possible, in which case we recommend not to specify any dates. In last year's round, REA completed the signing process of all Marie Curie fellowships by 15 December 2009, which means that those who had not specified an approximate date could start their fellowships as early as January 2010 and no later than 14 December 2011.
* c) A fixed start date. This is the only option that would allow you to start the fellowship without the REA signature in place. In the past there have been delays in getting the REA signature especially for ‘early’ start dates, which has caused considerable uncertainties for the fellow, supervisor and departments. With a fixed start date option you would know for certain when you can start your fellowship. However, if there is any doubt about your ability to start the fellowship on that particular date, then you should avoid the' fixed start date' option because a contract amendment will be necessary if the project does not start exactly on the specified date for any reason. We would recommend the 'fixed start date' option if you want to start between 1 March 2010 and 31 August 2010 and if you are certain that this will not change. Please note that REA does not allow start dates of earlier than 1 March 2010. Should you wish to opt for a start date between 1 March and 1 April 2010, please contact us immediately.

3. Eligibility and status checks. The EC and REA require us to verify that Marie Curie fellows comply with the eligibility criteria. We would therefore kindly ask the fellow to provide the following documents/statements to the departmental administrator and supervisor for approval (both have been copied into this email) by 22 January 2010:

* A scanned copy of the photo page of the fellow’s passport to verify the nationality,
* A scanned copy of the fellow’s PhD certificate, graduation certificate or letter of PhD award,
* A scanned copy of the fellow’s marriage (or partnership) and/or birth certificate for fellows who are claiming the mobility allowance with family element,
* A statement/reference from the fellow’s current employer confirming that s/he is employed and the date s/he joined that organisation. This can be an email and or a scanned letter. Alternatively the fellow can send a scanned copy of their current contract of employment.
* A statement/email from the fellow confirming that s/he had not resided or carried out their main activity (work, studies, etc) in the United Kingdom for more than 12 months in the 3 years immediately prior to 18 August 2009 (proposal submission deadline). Short stays, such as holidays, are not taken into account.

4. Departmental approval. This year we do NOT require a Resolve OG at the grant preparation stage (this will be done later). Instead we require an email from someone authorised in the Department confirming that the Department approves the award and that the Department is satisfied with all the documents and statements provided by the fellow (see point 3). Could the Department please send us the departmental approval by 28 January.

Carlos
